The Foundation places great importance on maintaining the privacy and security of our users’ personal data. Most of our activities require no registration whatsoever, allowing you to visit our website with no need to identify yourself. However, we do require you to provide your personal data to access certain activities and information.
Purposes for processing, justification, and retention periods
We process your personal data for specific purposes, and we process only the data necessary to fulfill certain objectives. In this regard, in accordance with the European Union’s General Data Protection Regulation (GDPR) [Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016], we inform you that the personal data you provide to us or that we collect through this website may be processed for the following purposes, as applicable:
- Responding to your inquiries: To respond to requests for information and/or inquiries you submit through the various channels we provide for you to contact us. The legal basis for processing your data is our legitimate interest in responding to your inquiry, providing an appropriate response to fulfill the reasonable expectations of individuals contacting the Foundation. This data processing is carried out proportionately and does not adversely affect your fundamental rights and liberties. We will process your data for as long as necessary to address your request or inquiry, after which we will retain your data for the legally established retention and liability limitation periods
- Managing interactions with users or participants in activities promoted by the Foundation: To facilitate the development and management of activities offered through this website, providing you with information about these activities and addressing your questions, as well as processing requests to participate in events, workshops, courses, or awards promoted by the Foundation. The legal basis for processing this data is your consent for the execution of these activities. We will retain your data for the time necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods. We inform you that by registering for activities offered on this website, you consent to your personal data being included in the course program that will be distributed to all attendees, together with the data of the other participants. However, you may revoke your consent at any time.
- Capturing and publishing your image and voice: To take photographs and/or videos of participants and attendees, to record live broadcasts during events, activities, seminars, courses, lectures, award ceremonies, or other acts, and to publish and distribute this material on the Foundation’s website, on the social media accounts we maintain, and in commercial communications, as well as on the websites of entities collaborating with the Foundation in the specific activity concerned. The legal basis for processing this data is your consent. We will retain your data for the time necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods or until you withdraw your consent or exercise your right to erasure.
- Informative communications: To keep users, attendees, and participants informed about the Foundation’s activities and courses by email or other electronic means of communication, providing updates about scheduling, contents of courses and/or activities; information about important changes and reminders of events; and other actions to ensure that users are duly informed and to facilitate their participation. The legal basis for processing this data is the Foundation’s legitimate interest in providing good service and assistance, ensuring that users and participants have the information they need to participate in the activities and courses offered. This legitimate interest is based on users’ reasonable expectations to receive this type of communications in the context of their relationship with the Foundation, and it has no negative effects on their fundamental rights and liberties. We will retain personal data for the time necessary to fulfill the purposes for which it was collected, at the very least as long as the user remains enrolled and/or registered in the Foundation’s courses and/or activities. Once this particular relationship has been finalized, the data will be kept in accordance with the applicable legal requirements and will be safely deleted once it is no longer necessary.
- Commercial communications: To keep users, attendees, and participants in activities carried out or organized by the Foundation informed by electronic or other means of communication about upcoming events and activities or news related to the Foundation. The legal basis for processing this data is your consent. We will retain your data until you withdraw your consent. Thereafter, we will retain and safeguard your data for the legally established retention and liability limitation periods. Nevertheless, we remind you that you can withdraw your consent to receive commercial communications at any time with no cost by following the indications provided in each communication.
- Participation in events and activities: To manage and coordinate participants, such as moderators, speakers, and attendees, among others, in events and activities organized by the Foundation. This includes: (i) selecting participants and potential candidates suitable for each type of activity, as well as managing their travel, speakers’ accommodations, and catering services; (ii) promoting the event or activity by disseminating information about the participants through the media and other channels; and (iii) publishing and disseminating recordings of the events, whether through video calls or live broadcasts on the Foundation’s website and/or social media accounts (Instagram, YouTube, Facebook, Twitter), as well as in promotional brochures to publicize the activity; (iv) managing and controlling payments for participant registration when the activity involves a fee. We will also send participants reminders about their attendance. The legal basis for processing this data is your consent. We will retain your data for the time necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods or until you withdraw your consent.
- Managing enrollment and interactions with students in courses: We will process your data to (i) manage requests to enroll in the training courses we offer through our website; (ii) register you on online course platforms or handle enrollment when done through a partner entity, including the certification or accreditation of the courses, when applicable; (iii) manage your role as a teacher in courses promoted or organized by the Foundation; (iv) provide support for your inquiries and manage issues related to your participation in the courses; and (v) manage and control payments for participant registration when the courses involve a fee as well as for the remuneration of teachers. The legal basis for processing this data is your consent through enrolling and/or participating in the course, as well as our contractual relationship with teachers of our courses. Data processed for this purpose will be retained while this relationship remains in force and thereafter for the legally established retention and liability limitation periods.
- Managing your participation in awards: To enable the Foundation to grant awards, we need to request and compile documentation from candidates for the coordination and management of these events. This management includes sending communications to potential candidates, winners, and other participants, such as attendees and/or guests. The same purpose applies to selecting jury members, who are responsible for evaluating candidates for awards. This management also involves communicating by email and/or phone with individuals attending events and ceremonies, including reminding them about attending. Additionally, it includes the publication and announcement of award winners and recordings of the events on the Foundation’s website and social media accounts. The legal basis for processing this data is your consent. We will retain your data for the time strictly necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods.
- Satisfaction surveys: Responses on surveys are collected and analyzed solely to assess the satisfaction, experiences, or interests of users, course participants, and/or attendees of activities organized by the Foundation, as described in this policy. We compile your feedback to improve our activities and to provide you with the opportunity to express interest in future initiatives. You will be invited to complete the survey on the same platform where you took the course. The legal basis for processing this data is your consent. We will retain your data for the time strictly necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods. Participation in surveys is voluntary; you are, however, free to withdraw your consent for this purpose at any time.
- Chair activities: In accordance with collaboration agreements with various educational institutions, the Foundation organizes different activities, events, and workshops to promote and disseminate research projects; to offer courses, seminars, roundtables, and conferences to students and the general public on topics of interest to foster social awareness and sensitivity in specific scientific areas. Your data will be processed for the following purposes: (i) to enable us to manage and organize the activities and events held by the Foundation and to send you invitations via email; (ii) to award prizes for the best master’s theses; (iii) to disseminate articles and publications generated within the framework of the Chair; (iv) to establish a monitoring committee, among other actions to ensure the proper functioning of the Chair; (v) to promote these events by publicizing and publishing them on the Foundation’s website and social media accounts. The legal basis for processing this data is your consent for participating in these activities, events, and conferences. Please be informed that, in certain cases, the collaborating educational institution will be responsible for notifying you of the use of your data for specific purposes within the framework of their collaboration with the Foundation. We will retain your data for the time strictly necessary to fulfill the purposes for which it was collected and, thereafter, for the legally established retention and liability limitation periods, after which it will be safely deleted.
Please be informed that some of our activities may include specific provisions regarding the protection of personal data; in these cases, the purposes for collecting your data will be described in detail in the corresponding form. For this reason, it is essential to read and accept these provisions prior to signing up for the activity.
Please note that failure to complete the mandatory fields in those forms may prevent the Foundation from processing your request, as this information is necessary for the activity.
Recipients
Your personal data will not be shared with third parties unless you provide your consent or we are legally required to do so. In certain cases, however, we may need to share your data, for example, with entities or institutions collaborating in some activities. In such cases, in accordance with data protection regulations, we will always ask for your consent to share your data, and we will specify with whom it may be shared.
Additionally, during the course of our activities, it may be necessary for us to grant access to your personal data to other companies within the Esteve Group that support us in carrying out the activities we offer (see the list at https://www.esteve.com/es/avisolegal).
Data may also be shared with the following categories of specialized service providers that assist us in delivering our activities and act as data processors: electronic communications providers, payment platforms (e.g., PayPal), office software, hosting, housing, IT maintenance, online platforms for managing our activities, telecommunications providers, advertising agencies, press, accounting firms, auditors, legal advisers, and representatives, among others.
International transfers
Your data may also be transferred and processed outside the European Economic Area (EEA), in countries where the level of data protection may be weaker than in countries in the EEA. In such cases, we will implement appropriate safeguards to ensure the security of the international transfer of personal data, such as entering into specific agreements with the importer of said data.
Security measures
Data will be processed with an appropriate level of protection, employing the necessary technical and organizational measures to prevent alteration, accidental loss, unauthorized disclosure or access, and any other improper form of processing. These measures will take into account, among other factors, the nature of the data processed, the varying likelihood and severity of risks to the rights and freedoms of individuals, and the need to ensure a level of security appropriate to the detected risks. We will also consider technological advances and the costs of implementing them to ensure the confidentiality, integrity, availability, and resilience of the processing systems and services we use. Rights
We inform you that, as the owner of your data, you may petition the Foundation free of cost at any time to exercise your rights to access, rectify, or delete your data, restrict its processing, obtain it for reuse (data portability), oppose its use, and refuse its use for automated individual decisions, including profiling. Likewise, for data processing based on your consent, you have the right to withdraw your consent at any time, although such withdrawal will not affect the lawfulness of prior processing.
